What the job entails
This temporary position will support the company’s international logistics and supply-chain operations during a staff transition. Working closely with the existing team, you will help coordinate import and export procedures, arrange international shipments and prepare the documentation required for deliveries.
You will liaise with distributors and regional sales representatives across Asia to process and fulfil orders, follow up on outstanding shipments and monitor sales orders and inventory. The role will also involve accounts-receivable follow-up and regular communication through email, chat and messaging platforms.
The position will initially focus on a structured handover and close collaboration with the team in Tokyo. On-site working is preferred at the start, with the possibility of greater flexibility once you have established your understanding of the processes and built trust within the team. Some flexibility may be needed to communicate across Asian time zones.
Key requirements
- Previous experience in import/export, international logistics, supply-chain administration or a closely related field.
- Experience handling sales orders, shipment coordination, shipping documentation or inventory follow-up.
- Business-level Japanese and English communication skills are highly desirable.
- Strong written and verbal communication skills, with the ability to liaise effectively with distributors, regional sales teams and overseas colleagues.
- Good organisational skills and the ability to manage multiple orders, shipments and follow-up activities accurately.
- Familiarity with import/export terminology and international shipping procedures.
- A flexible, proactive and adaptable approach to supporting a busy operational team.
- Ability to work on-site in Shibuya, Tokyo, particularly during the initial handover period.
- Willingness to coordinate with colleagues and business partners across different Asian time zones.
- Experience in sales administration may be suitable where combined with strong coordination skills and an ability to learn logistics processes quickly.
