This role acts as the General Manager’s PMO for the Japan business, supporting management activity and cross-company projects outside of direct sales work. You will be closely involved in day-to-day coordination for the GM, helping to prepare meetings, create and edit materials, translate documents, and manage logistical arrangements for internal events and offsites.
A key part of the role is project and stakeholder coordination. You will track schedules, milestones, risks, and issues, help build governance for projects, and work with colleagues in Japan and overseas to keep initiatives moving smoothly. The position also covers operational support such as expense processing, budget administration, payment requests, and vendor coordination. It is a hands-on role that combines executive support, project management, and business operations.
Secretary or executive assistant experience is essential; executive secretary experience is a strong advantage.
Experience coordinating with a range of internal and external stakeholders, including handling competing priorities.
Strong PowerPoint and Excel skills, with the ability to create materials and analyse data effectively.
Advanced business English, with confidence in speaking, reading, and writing for meetings, emails, and chats.
Experience in PMO, corporate planning, business planning, management, consulting, or Chief of Staff-type roles is highly desirable.
Event coordination or PR experience is a plus.
Strong organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Comfort supporting senior leadership and working across teams and time zones.
